- pdf footer
- pdf header
Tips & Best Practices
- Set the starting page number correctly if the document already has a title page or table of contents that should not be counted — for example, set "Start numbering from 3" to skip the first two pages.
- Choose a consistent font size for page numbers — 10pt or 11pt is the standard size for A4 documents. Smaller sizes become difficult to read in print, especially at the bottom of the page.
- Position numbers in the bottom centre or bottom right for standard documents. Bottom right is conventional for most professional business reports and legal documents in India.
- For double-sided printing documents, place page numbers on the outer margins — right-aligned on odd pages and left-aligned on even pages — for a professional book-style layout.
- Test the page numbering on a small extracted section of your document first before applying to the full PDF, so you can verify positioning, size, and starting number without having to re-process the entire file.
- After adding page numbers, verify the output in both a PDF viewer and by printing a test page — on-screen positioning sometimes differs slightly from printed positioning.
Common Mistakes to Avoid
- Setting the starting page number to 1 when your document has already been partially numbered — adding page numbers to a PDF that already has them creates duplicate page numbers. Check for existing numbering first.
- Choosing a font size that is too small (below 8pt) or too large (above 14pt) — very small numbers are illegible in print, and very large numbers can visually dominate the page footer and look unprofessional.
- Placing page numbers over content area — if your document has very small margins, the page number may overlap body text or footnotes. Ensure adequate margin space before applying numbering.
- Forgetting to specify an offset for documents where numbering should begin at a value other than 1 — if your report has a cover page and table of contents, the first numbered page should typically start at page 3 or later in the document.
- Applying page numbers before merging PDFs — if you need to merge multiple PDFs into one, merge first and then add page numbers to the combined document to ensure sequential numbering across all sections.
- Not downloading the output immediately and closing the browser tab — the numbered PDF only exists during your browser session.
